Why an Inventory

A property inventory is a detailed list of the décor, condition and contents of the property. The chief purpose of the inventory check in and check out process is to record the condition of the property at the beginning and end of the tenancy, giving protection to both landlords and tenants and helping to ensure a fair and equitable deposit return at the end of the tenancy.

Since 2006, Incisive Inventories has provided inventory services to London’s estate agents, property managers and landlords.

We have developed our service with a focus on being able to provide check out reports that will swiftly settle deposit disputes by producing reports that have a clear and consistent structure, backed up with 100+ photographs.

OUR STORY

Incisive Inventories

Incisive Inventories was founded by Simon Gardner in 2006. Simon came from a background in advertising and saw a gap in the market to improve the current level of inventory reporting. By fostering strong relationships with estate agents and landlords while maintaining the objectivity and impartiality that is crucial to an independent inventory report, he developed a concise and consistent structure to our reports.  He invited agents and landlords to consider Incisive as one of their team and they have remained loyal clients to this day.

In 2012 Incisive became a family affair when Simon was joined by his wife Allie. She brought with her unparalleled organisational skills from her background in heritage management and accounts. Simon and Allie understand that your property is personal – for Landlords as your asset and for tenants as your home, for however short or long a period. Whether we are working with landlords, property managers, small independent estate agents or those with several branches and large property portfolios, we provide a bespoke and personal service, as individual as the properties we inspect.

OUR REPORTS

Reports

The inventory report is a detailed list of the décor, condition and contents of each room or area within the property produced when the property is first let to tenants. A new inventory does not need to be produced for every tenancy but should be considered if any refurbishment work is done in the property, after multiple tenancies or every few years.

Check In Report

The check in is conducted at the beginning of every tenancy and marks the practical start of a tenancy as we should be the last contractor to attend (after, for example, decorators or cleaners) and before tenants move their belongings in. cheaper than a full inventory.

Check Out Report

The check out is conducted at the end of the tenancy and out marks the effective end of the tenancy, we are also the last contractors to attend (after removals teams and cleaners) and take possession of the keys. Using the inventory / check in reports, we note any changes in the condition of décor and contents, as well as items that may have been removed or additional items.

Schedule Of Report

Schedule of Condition (SOC) - can be done either at the start or end of a tenancy and provide a list of defects, on a room by room/ feature by feature basis. Essentially an inventory but without the descriptions. These are charged on the same basis as a check in and are cheaper than a full inventory. out before confirming a booking.

Mid Term Report

Carried out during a tenancy, either on a regular basis to keep an eye on the property, or at the change of a tenant. These can vary in the level of detail provided, it is best to discuss the reasons for having these carried out before confirming a booking. .

Snagging Inspection

A pre-tenancy, post building work list of issues requiring attention prior to occupancy.

Probate Inspection

A simple list of contents with room for your own notes/ valuations

For check ins, the booked time is when we would expect to arrive at the property. Tenants are welcome to attend to pick up keys but should wait until we have finished before moving in their belongings.

For check outs, this is the time that we would receive the keys, either directly from the tenant at the property or via the agents. The property should be empty of personal belongings and professionally cleaned.

We budget that most properties will take between 60 and 90 minutes to inspect although properties with 4 bedrooms and above can take considerably longer.

No. As long as we know where to pick up and return keys to, we can do the inspection without your attendance.  The inspection does not produce the final document and all parties have an opportunity to review and amend the reports.

Our inspection starts at the front garden or door and goes by room by room describing all visible features and contents and their condition.

Inaccessible areas such as lofts and high level cupboards and anything that has been packed up, stored away or is otherwise difficult to reach.

Yes. The property should be professionally cleaned at the start of the tenancy so that the tenant is then responsible to return in the same condition. We are experts at assessing this issue to provide clarity and guidance on what has been done in the past and can be reasonably be expected in the future.

We charge based on the number of bedrooms in a property, whether or not it is furnished and the type of job. Our rates are designed to be simple to understand and based on the amount of time we would expect to spend at a property and the time spent producing the report.  Please email us for more details.
